This Privacy Policy explains how 8 Tools Sdn. Bhd. (“8 Tools”, “we”, “us”, or “our”) handles personal information in connection with our website at 8tools.co (the “Site”).
We keep this simple, because our Site is simple: it is an informational website with two forms. We do not run advertising networks, we do not sell personal information, and we do not build profiles of our visitors.
Information We Collect
Information you give us
We only receive personal information from you when you choose to submit one of our forms:
- Contact form — your name, email address, subject, and the content of your message.
- Join Us form — your name, email address, subject, your motivation letter, and the CV file you attach. A CV typically contains further information about you, such as your employment history, education, and contact details. Please include only what you are comfortable sharing with us.
Information collected automatically
The Site is served through Cloudflare. As with any website, our hosting infrastructure processes technical data that your browser sends with every request — such as your IP address, the page requested, your browser type and version, and the date and time of the request. This data is used to deliver the Site, keep it available, and protect it against abuse and attacks.
To keep our forms free of automated spam, we use a hidden “honeypot” field that is invisible to people, and we may use Cloudflare Turnstile, a privacy-oriented human verification service. Where Turnstile is used, your IP address is shared with Cloudflare for the sole purpose of that verification.
Cookies And Tracking
The Site does not set cookies, and we do not use analytics, advertising, or cross-site tracking technologies. There is nothing for you to accept or opt out of. If we ever introduce cookies, we will update this policy and, where the law requires it, ask for your consent first.
How We Use Your Information
- To read and reply to the messages you send us through the contact form.
- To evaluate your application, contact you about it, and communicate with you during a recruitment process.
- To operate, secure, and maintain the Site, including preventing spam, fraud, and abuse.
- To comply with legal obligations that apply to us.
Where the law requires a legal basis for processing, we rely on our legitimate interest in responding to enquiries, recruiting for our team, and securing our Site; on taking steps at your request before entering into a contract; and, where applicable, on your consent, which you may withdraw at any time.
We do not use your information to send marketing newsletters, and we do not make automated decisions that produce legal or similarly significant effects about you.
How Your Information Is Handled
Form submissions are not stored in a database on the Site. They are delivered by email to our internal team mailbox, where they are read and, if appropriate, replied to. Our email and hosting providers process this information on our behalf.
Sharing Your Information
We do not sell, rent, or trade personal information. We share it only:
- with service providers who help us operate the Site and our email — currently Cloudflare (hosting, security, and email delivery) and our corporate email provider — and only to the extent needed to provide those services;
- with companies affiliated with 8 Tools, where they are involved in answering your enquiry or in a recruitment process you have applied to;
- where we are legally required to do so, or where it is necessary to establish, exercise, or defend legal claims, or to protect the rights and safety of people and property.
International Transfers
We are based in Malaysia, and our service providers operate globally. Your information may therefore be processed in countries other than your own, including countries whose data protection laws differ from those where you live. Where such transfers are subject to data protection law, we take reasonable steps to ensure your information continues to be protected to an appropriate standard.
How Long We Keep It
We keep your information only for as long as it is needed for the purpose it was collected for:
- Contact enquiries — for as long as needed to handle your enquiry and keep a record of our correspondence.
- Job applications — for the duration of the recruitment process. If we are not able to make you an offer, we may keep your application for a reasonable period in case a suitable role opens up, unless you ask us to delete it sooner.
- Technical and security logs — for the short retention periods applied by our hosting provider.
Security
The Site is served over HTTPS, form submissions are transmitted encrypted, and access to the mailbox that receives them is restricted to the people who need it. No method of transmission or storage is completely secure, so while we take reasonable measures to protect your information, we cannot guarantee absolute security.
Your Rights
Depending on where you live, you may have the right to request access to the personal information we hold about you, to ask us to correct it, to ask us to delete it, to object to or restrict how we use it, to receive a copy of it in a portable format, and to withdraw a consent you previously gave. You may also have the right to lodge a complaint with your local data protection authority.

Children
